Virtual Event Support / Event Producer 

We are looking for an experienced virtual event professional to join us on a project basis, beginning with an upcoming virtual event for 150+ participants, with the opportunity to support additional events over time. 

Near term: Virtual Event Support 

For an upcoming event at the end of September, this person will focus primarily on the technical execution and participant experience. Responsibilities will include: 

• Partner with the team to brainstorm creative ways to make the virtual experience more engaging, interactive, and fun.  

• Run virtual sessions using Microsoft Teams for 150+ participants. 

• Manage breakout rooms, polls, screen sharing, videos, participant movement, and other interactive features. 

• Troubleshoot technical issues during live sessions and help ensure the event runs smoothly. 

• Participate in rehearsals to test technology, transitions, and interactive elements. 

• Support other event logistics and production as needed. 

Longer term: Virtual Event Production 

We expect to run additional virtual events and would like this person to be the lead event producer, taking ownership of the logistics and coordination required to bring each event together. This could include: 

• Develop and manage the overall event timeline and run of show. 

• Partner with the team to shape the participant experience, recommending creative formats, interactive elements, and other ways to keep virtual events engaging and dynamic. 

• Coordinate with session owners, speakers, and internal teams to keep deliverables on track. 

• Ensure presentations, videos, and other content are complete, in the correct format, and ready for the event. 

• Track required executive, legal, and other internal reviews and approvals. 

• Schedule and manage speaker and technical rehearsals. 

• Coordinate event technology, logistics, and day-of production. 

• Serve as the central point person for event readiness, identifying gaps and following up to make sure nothing falls through the cracks. 

What We’re Looking For 

• A strong instinct for what makes virtual events engaging and a willingness to bring ideas to the table, not just execute the logistics. 

• Hands-on experience running virtual events for 150+ participants. 

• Strong proficiency with Microsoft Teams and Zoom and similar platforms, particularly breakout rooms and interactive features. Be able to recommend the right platform for an event.  

• Experience creating virtual experiences that are engaging, not just technically well-run. 

• Excellent organization and attention to detail. 

• A proactive working style and the ability to anticipate what needs to happen next. 

• Interest in broader ownership of event production and logistics.
